Documents Database

Supporting Documents are stored in a database that is separate from the Reconciliations database. When you log in to a RecWizard database, you will select the Reconciliations database. In order to save and view your supporting documents you will have to link your Reconciliations database to the appropriate Documents database.

Once the linkage to the Documents database is done there is no need to make any changes unless you move the Documents database to a new location. To complete the link to the Documents database, click on Application Setup on the main menu, then click on the Database tab.

Click on the Browse button and locate the appropriate Documents database. Once you have selected the database, click Save & Exit to complete the link to the Documents database.

Database Naming Conventions

While you can name your databases anything you like, we suggest you try to make sure the name of your Reconciliations database is similar to your Documents database - but different. As you have noticed there are two databases associated with the RecWizard Tutorial. They are:

  • RecWizardTutorialReconciliations.mdb - this database has all the information related to your reconciliations and links to appropriate supporting documents.
  • RecWizardTutorialDocuments.mdb - this database has the supporting documents. The documents can only be accessed through the Reconciliations database.

You can see that the names are similar... but different. If you move the Reconciliations database you will probably also be moving the Documents database. Make sure you change the link to the Documents database as described at the top of this section.

Database Capacity

The documents database can hold a total of 2 Gigabytes of data. You should try to zip large files to conserve disc space. If the Documents database does get full, contact us at RecWizard to help you archive some of the supporting documents.
